KA Productions Travel Terms & Conditions
Effective Date: July 1, 2025
Welcome to KA Productions. By booking a vacation package, cruise, or group trip with us, you agree to the terms outlined below. Please review them carefully before submitting payment or confirming your reservation.
1. Acceptance of Terms
By booking with KA Productions (“we,” “us,” “our”), you acknowledge that you have read, understood, and agreed to these Terms and Conditions. These terms apply to all bookings made directly with us or through our authorized agents.
2. Our Role
KA Productions is an independent travel agency specializing in vacation packages, cruises, and group travel experiences.
We act solely as an intermediary between our clients and travel suppliers, including airlines, hotels, tour operators, cruise lines, and transportation companies.
Each supplier’s individual terms and policies apply to your booking. KA Productions is not responsible for supplier errors, schedule changes, or service interruptions.
3. Booking and Payment
A deposit is required to secure your reservation. Deposit amounts vary by trip and are stated in your package details.
Final payment is due by the deadline listed on your invoice. Failure to pay on time may result in cancellation and forfeiture of funds paid.
Accepted payment methods include [insert methods, e.g., credit/debit cards, Zelle, PayPal, CashApp].
All prices are quoted in U.S. Dollars (USD) unless otherwise noted.
4. Cancellations and Refunds
All deposits and KA Productions’ service fees are non-refundable and non-transferable, unless otherwise stated in writing.
If you cancel your trip:
Cancellation must be submitted in writing.
Cancellations after the final payment deadline may result in a total loss of funds.
Certain group trips and cruises are non-refundable once booked, as governed by the supplier’s policy.
If the trip is canceled by KA Productions or a supplier, we will work on your behalf to obtain a refund or travel credit where possible.
5. Changes and Modifications
After confirmation, any change (such as names, travel dates, or room categories) may result in additional supplier or agency fees.
We will notify you of all applicable costs before processing changes.
6. Group Travel Policy
Group travel bookings have unique payment and cancellation policies:
Payment schedules and deadlines must be followed exactly.
Late or missed payments may result in removal from the group and loss of funds.
Group pricing is based on a minimum number of travelers. If that number isn’t met, prices or travel dates may change.
7. Travel Documents and Requirements
Each traveler is responsible for obtaining and maintaining all required travel documents, including:
A valid passport (must be valid at least 6 months beyond travel dates)
Entry visas, if required
Proof of vaccinations or travel insurance, when applicable
KA Productions is not responsible for denied boarding or entry due to incomplete or invalid documentation.
8. Travel Insurance
KA Productions strongly recommends purchasing travel insurance to protect your investment.
Travel insurance can help cover cancellations, interruptions, medical emergencies, and lost luggage.
If you decline coverage, you assume full financial responsibility for any potential loss.
9. Health, Safety & Risk
Travel involves inherent risks. By booking with KA Productions, you acknowledge and accept these risks.
You are responsible for determining your personal fitness for participation in any trip, excursion, or activity.
10. Liability Disclaimer
KA Productions is not liable for:
Supplier errors, omissions, or delays
Acts of nature, weather conditions, or government actions
Illness, injury, loss, or damage to personal property
Any event beyond our control
Our maximum liability, under any circumstance, is limited to the amount you paid directly to KA Productions for agency services.
11. Force Majeure
KA Productions is not responsible for performance delays or cancellations due to force majeure events, including but not limited to: Natural disasters, pandemics, war, civil unrest, government restrictions, or supplier bankruptcy.
12. Client Responsibilities
By booking with KA Productions, you agree to:
Provide accurate traveler information
Review all confirmations and invoices for accuracy
Make timely payments
Follow supplier, airline, and destination rules and policies
13. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of the State of [Insert Your State], without regard to conflict-of-law principles.
